JOB OVERVIEW

The Senior Float Activities & Volunteer Coordinator is responsible for effectively and positively partnering with the Executive Director and Director of Operations of the supported communities and providing overall leadership and management of the engagement and programming operations while meeting Sunrise quality standards. Responsibilities include but are not limited to assist with hiring and training of community leadership and assistant positions, develop and lead holistic resident-centered activities and volunteer programs, and provide overall financial management of department.

RESPONSIBILITIES & QUALIFICATIONS

Responsibilities:

Activities Program:

• Stabilizes and leads all aspects of the Activities department at supported community.

• Maintains a holistic resident centered activity program according to Sunrise standards.

• Assesses, plans, and manages facilitation of a comprehensive activities program utilizing team members and volunteers.

• Recruits entertainers and schedules special events.

• Prepares and reviews the activity calendars and newsletter with the Executive Director.

• Coordinates with other department coordinators to ensure that all equipment and supplies are available for routine activities and special events.

• Collaborates with the Reminiscence Coordinator on the development of the memory care calendar.

• Collaborates with other department coordinators to update resident’s Individualized Service Plan (ISP) and life history.

• Maintains a robust public relations program in support of the activities programming and community operations.

• Manages and documents programs and communications in the Smile platform including the family engagement application.

• As applicable, responsible for the delegation of daily care of any animals.

Volunteer & Community Focus:

• Networks in the local community in partnership with other department coordinators to establish and develop relationships with local businesses, organizations, and schools to build and maintain a volunteer base and network with professionals.

• Manages and implements a consistent volunteer orientation and training program and records according to Sunrise and state specific standards.

• Implements and facilitates a volunteer recognition program.

• Involves families, residents, and community volunteers to participate as a regular part of the activity programs.

Resident Focus:

• Assesses the resident’s specific social and lifestyle needs and desires.

• Develops an individualized program of activities to be included on the Service Plan.

• Participates in resident Service Plan meetings as needed including updating lifestyle and life story to customize the service plan.

• Refers to the Resident Profile and Addendums for every new resident.

• Ensures each resident’s shadow box is completed within two (2) weeks of move-in.

• Reviews and reads alerts in SCC.

• Promotes customer engagement activities and interacts with residents to monitor satisfaction and address concerns.

• Analyzes customer feedback and takes corrective action when necessary.

• Actively participates in monthly Resident Council Meetings.

Financials:

• Achieves budgetary goals.

• Uses electronic checkbook daily to guide purchasing.

• Orders supplies in adherence with the established budgets, product order guides and vendor programs as outlined by the Sunrise Purchasing and Programming teams.

• Maintains records and performs transfers timely for ancillary charges.

• Reviews monthly financial statements and implements corrective action as appropriate.

• Processes and submits purchases and expenses timely, and per Sunrise policies.

Communication & Support:

• Communicates often with ED of supported community regarding schedule. Agrees to work based on needs of the business per ED request.

• Conducts an in-person exit interview with ED each week prior to leaving to recap progress and review priority initiatives.

• Sends a written progress report to ED, RDO and RDPS prior to exiting each week.

• Reviews SCC daily bulletin for alerts and changes in resident condition

• Alerts Care team of any change in resident behavior.

• Attends and participates in regular meetings, including Stand Up, Cross Over, Department Head, Town Hall, QAPI, and others as directed by the Executive Director.

Facility Maintenance:

• Partners with Leadership and Facilities teams to ensure compliance with OSHA, Personal Protective Equipment (PPE), fire safety, Safety Data Sheets (SDS), and Risk Management programs and policies.

• Coordinates action for any repairs and scheduled maintenance of equipment.

Staffing, Training, Leadership and Team Member Development:

• Fulfills all required training within the designated timeframe, including Sunrise University training and additional training required by state and local regulating authorities.

• Ensures completion and compliance of all required Activities team member training.

• Partners with ED in the delivery of Sunrise University Training as appropriate.

• Assists ED in screening and hiring applicants to fill departmental vacancies as needed, including the AVC, AVA, and driver positions.

• Provides feedback to the ED to support team member performance reviews as appropriate.

• Holds departmental team members accountable and corrects and documents actions when necessary.

• Uses all available tools to complete team member staffing and scheduling according to operational and budgetary guidelines.

• Reviews team members timekeeping and payroll reports to ensure accurate recording and payment of team members hours.

• Maintains compliance in assigned required training as applicable to this role to ensure that Sunrise standards are always met.

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed throughout this job description are representative of the knowledge, skills, and abilities required:

• College degree and/or certifications with specialized credentials in activities programming.

• Three (3) to five (5) years supervisory experience in activities programming.

• Ability to effectively hire, coach and manage performance.

• Ability to delegate assignments to appropriate individuals based on skills, roles, and interests.

• Ability to maintain budget within established limits.

• Good judgment, problem solving and decision-making skills.

• Strong written and verbal skills for effective communication and facilitation of small group presentations.

• Strong computer skills, including Microsoft Office (Windows, Outlook, Excel) and Sunrise applications with the ability to learn new applications.

• Ability to work weekends, evenings, and flexible hours, available for our customers at peak service delivery days and times.

• Experience in many different size operations is essential as this position supports the programming operations of various communities with short term vacancies.

• Extensive travel required.

• As applicable, all Sunrise team members who drive a Sunrise vehicle must review and sign the Driver job description and understand the key essential duties for safety and regulatory compliance.
